Terms & Conditions

These Terms & Conditions are a summary for general guidance. Full terms are provided within your Client Agreement.

1. Booking & Confirmation

Your date is secured once:

  • Your agreement is signed, and

  • Your non-refundable booking fee has been received

Dates are not held without a booking fee.

These Terms form part of your agreement with us.
If there are any differences, your signed Client Agreement will take priority

2. Payments

  • A non-refundable booking fee is required to secure your date

  • The remaining balance is due 30 days prior to your event

You’re welcome to make instalment payments at any time leading up to your final due date.

All payments are non-refundable, as they secure your date and vendor commitments.

If the balance is not received by the due date, we reserve the right to cancel your booking.

3. Cancellations & Postponements

All payments made are non-refundable.

If cancellation occurs within 30 days of your event, the full balance remains payable.

We understand that plans can change:

  • One postponement may be permitted with at least 30 days’ notice

  • New dates are subject to availability

  • Additional changes may incur fees

All payments are transferable but not refundable.

4. Venues & Guest Conduct

We carefully select venues to suit the style and feel of each package.

  • Some venues are outdoors and weather dependent

  • All venues are smoke and vape free unless stated otherwise

We ask that all guests:

  • Respect the space

  • Follow any instructions provided

The client is responsible for any damage, delays, or additional costs caused by guests.

We reserve the right to modify or end an event if behaviour is unsafe or disruptive.

5. Guest Numbers

Each package has a maximum guest limit:

  • The Seed — couple + 2 witnesses

  • The Blossom — up to 20 guests

  • The Grove — up to 30 guests

Additional guests must be approved in advance and may incur additional charges.

6. Timeframes

Each package includes a set duration:

  • Seed — 60 minutes

  • Blossom — 2.5 hours

  • Grove — 3.5 hours

Late arrival does not extend your booking time.

Additional time may be available and is charged in 30-minute increments, subject to availability.

7. Food & Beverages

Food and beverage options vary by package.

Alcohol service may include:

  • Licensed service, or

  • BYO options through an appropriately licensed provider

Additional service fees may apply where relevant.

8. Alcohol & Conduct

All alcohol service follows responsible service and licensing laws.

We and our vendors reserve the right to refuse or stop alcohol service at any time.

We are not liable for any issues arising from guest intoxication.

9. Vendors

We work with a trusted group of independent vendors.

While we carefully select each provider:

  • We are not liable for vendor delays, performance, or unforeseen issues

  • Vendors may be replaced with comparable professionals if needed

10. Photography & Media

We may use images from your day for:

  • Website

  • Social media

  • Marketing

If you’d prefer privacy, just let us know in writing before your event.

11. Liability

To the extent permitted by law:

  • We are not responsible for personal injury

  • We are not responsible for loss or damage to personal belongings

  • We are not responsible for guest actions

Our total liability is limited to the amount paid for your booking.

12. Force Majeure

We are not liable for events outside of our control, including:

  • Severe weather

  • Natural events

  • Government restrictions

  • Vendor illness

Where possible, we will work with you to reschedule within 12 months.

13. Client Responsibilities

If you or your guests:

  • Arrive late

  • Do not follow instructions

  • Choose not to participate

This does not entitle a refund or reschedule.

14. Changes to Services

Occasionally, small adjustments may be needed due to:

  • Availability

  • Seasonality

  • Safety

Any significant changes will always be discussed with you.

15. Privacy

Your information is used only for:

  • Booking

  • Event coordination

We do not share your details outside of essential vendors.

16. NZ Governing Law

These terms are governed by New Zealand law.

17. Acceptance

By booking with The Little Orange Tree, you acknowledge that you have read, understood, and agree to these Terms & Conditions.
